Practical founder guide

Screen Recording Privacy Checklist for Software Demos

Audit accounts, tabs, notifications, exports and sample data with a practical exposure and retake decision table.

Prepare a demonstration path

List every screen you will visit. Use an approved demonstration account with deliberately fictional data where possible. A clean opening dashboard does not guarantee that menus, suggestions or downloads are safe.

Use an invented workspace and a reserved example address such as alex@example.com for planning. Do not substitute real customer details in a public example. Confirm organizational rules with the responsible owner.

Inspect surrounding surfaces

Review browser profiles, tabs, bookmarks, desktop, file pickers and recent items. Check notification settings. Record a short rehearsal and inspect the complete interval before a full take.

Exposure can happen during a transition. Do not assume an editor’s final crop covers every frame. Check the moments before and after the central task, including windows opened temporarily to locate a file.

Decide whether to replace, redact or retake

Replacing data before capture is easier to review than chasing it through moving footage. If exposure is found, stop distribution of that revision and identify the affected intervals.

Retake when sensitive content moves, appears in several places or cannot be reliably removed. If redaction is used, inspect the actual export around every affected frame. One still with an aligned blur is not proof of continuous coverage.

Audit the handoff and response path

Review audio, captions, thumbnails, filenames and attached originals as well as the video. An internal-review folder and a public download can have different requirements. Attach approval to the exact shared revision.

Know who can remove or replace hosted copies. Follow the owner’s incident procedure if an exposure is discovered later; replacing a source does not remove every distributed copy. This checklist supports editorial review, not a legal determination that disclosure is permitted.

Copy the planning worksheet

Use this worksheet in your own notes. Fill it with verified product details and actual review observations before sharing an asset.
